Waivers

All participants are required to electronically sign USA Rugby participation waivers.  In addition, any U15 player participating at the high school level must be assessed by a coach and sign a waiver (view the form).

Participants are also required to electronically sign a Rugby NorCal, Media release and a medical consent to treat forms.  For more information please see our Policies and Procedures page.

 

Codes of Conduct

All participants whether players, coaches, parents or volunteers are subject to guidelines. During on-line registration you will be required to electronically sign and abide by our Code of Conduct policies and Social Media Policy.  Players whom travel for special tours will also be required to sign an Oaks Tour Code of Conduct agreement.  For more information please see the policies on our Policies and Procedures page.

 

Communication, Participation and Competition

The Communication, Participation and Competition policy outlines the Oaks' expectations for players, coaches and parent regarding player participation and proper communication channels at different age groups and levels of competition.  For more information please see our Communication, Participation and Competition Policy.

You will receive emails regularly as the season approaches as well as during the season.  Updates, events and important information will be communicated with responses requested.  Please review these emails carefully and respond appropriately when required.  Please ensure all adults and players whom need the information are in our email database.  

To do this all parents of new players must create a profile for their player upon registration when prompted.  Parents of returning players will automatically have a profile from previous years.  The email database consists ONLY of the email(s) associated with the account email initially entered into the system by you.  This email is not automatically updated from the emails entered during the registration process.   It is your responsibility to update your contact information and add additional emails to the player profile as needed.  This is done by updating your  Sports Engine profile/account to forward messages to multiple contacts (view instructions). For more information about your Sports Engine account see our Guide to Using Sports Engine page.

Rosters and emails will be published for the private, internal and exclusive use of the Danville Oaks Rugby Football Club, its participants and parents.  Unauthorized use of this information for commercial, promotion or political activities is prohibited. You may not email solicitations to the participants or their parents.

 

Player Health and Safety

At all times player health and safety are a paramount consideration. The Laws governing each level of the program are specifically designed to foster a safe environment for both male and female players, while they learn relevant skills.  Please see our Player Welfare page for more information.

 

Volunteer Policy:

Volunteers are critical to the Danville Oaks’ success. 

The Oaks use Sports Engine's "DIB" system which is a Volunteer Scheduling Tool.  Families are required to volunteer for at least 5 DIBS (approximately 5 hours) for youth players and  10 DIBS (approximately 10 hours) each season.  Families with multiple players have a 10 DIB minimum total.  Club-wide, Team and match day opportunities are available for you to offer your time and talent.  You will be notified via email and a Parents meeting at the start of the regular season about specific areas of need.  Volunteer signups will be completed via an online sign up on our website (DIBS)

Each player must provide a Refundable Volunteer Participation Deposit to the Oaks Rugby Club during registration.  Deposit for one player is $350, or $500 for 2 or more players. This amount will be refunded at the end of the season after the Club confirms that all the volunteer hours have been satisfied through tracking on the Oaks Dib System. 

Players of coaches, BOD members, and Club Committee members are exempt from the volunteer deposit requirement (via a personalized Discount Code entered at registration checkout).

Financial Aid Requests

The Danville Oaks seek to ensure that all young people interested in rugby have the opportunity to participate, so we offer financial aid to minimize registration fees. We aim to assist those with the greatest need, but we also acknowledge that special circumstances can create challenges for families who might not typically qualify for aid. For more information and to apply, please see our Financial Aid Page.

 

Player Transfers:

The Rugby NorCal Player Transfer Policy states that only a parent/guardian of the player may initiate a transfer, which is completed by filling out an online form. Rugby NorCal will then review the transfer and communicate with both the initial club and transfer club regarding the player requesting the transfer. 

Off-Season Transfer Requests are now ONLY for High School Players. Youth and MS parents need not fill out the transfer request form for Off-Season Transfers requests, but should still notify their existing/prior club of their intent to transfer for the following season. Any In-Season Transfer Request must be submitted for ALL ages.

 

Refund Policy:

We understand that players may change their minds or other commitments may hinder their ability to participate fully. 

For Youth teams U8, U10, U12, and MS Boys a request for refund must be made prior to December 31, 2024. For MS Girls, HS Girls, and HS Boys a request for refund must be made prior to February 21, 2025. The refund amount will be Registration fees paid less USA Rugby, Rugby NorCal, Sports Alliance fees, and Sports Engine Service fees*.  In addition a $50 processing fee will apply. PLAYER EVALUATION AND PLACEMENT

At Oaks Rugby, we prioritize both safety and skill development. Before being rostered for competitive matches or travel, all players must demonstrate proficiency in core rugby skills. Players who need additional time to develop these skills will participate in Academy-style weekend practices. Once they pass the skills assessment, they will be eligible for game rosters.
