Oaks Volunteer Requirements

A successful Rugby organization requires a team effort on and off the field.  Our coaches are busy ensuring a safe and developmentally beneficial program for each of our children.  We need everyone’s help to keep things running smoothly and to provide the best experience for everyone.

Danville Oaks is a not for profit, volunteer driven organization.  As such, parent and player representatives are responsible for the following:

• Each family (or representative) is expected to volunteer a minimum of 5 hours (DIB credits) for a youth player and 10 hours (DIB credits) for a high school player. The minimum volunteer expectations with two or more children under 18 in each household is 10 hours (DIB credits)

• Volunteer duties may be completed by assisting at the Team or Club level. Volunteers may assist in one or more areas. Please see the Oaks Volunteer Job Descriptions for more information.

• If Volunteers are unable to fulfill a commitment, they are responsible for arranging a suitable replacement to fulfill the obligation.

• Refundable Volunteer Deposit is collected at registration. Deposit for one player is $350, or $500 for 2 or more players. Players of coaches, BOD members, and Club Committee members are exempt from the volunteer deposit requirement (via a personalized Discount Code entered at registration checkout). 

• Volunteer hours are tracked in the Oaks Dib System. At the end of the season after the Club confirms that all the volunteer hours have been satisfied through tracking on the Oaks Dib System, the Volunteer deposit will be credited using the same card or account information that was utilized during registration. It is the members’ responsibility to notify Danville Oaks of any changes with their accounts.

• It is the player representative’s responsibility to ensure that they check in and communicate with Team Level Volunteers to obtain credit for their volunteer job(s).

• If a player representative fails to fulfill all of their volunteer hours as required, the Oaks will retain their Volunteer Deposit.

How and where do I claim a dib?

Login to your Sports Engine account via the Danville Oaks website. You should have a login and password from registration. 

  • Once on the home page, click the” DIBS” tab and then click “Active Sessions”. You will see many active sessions, click on your team’s session (i.e. U8 or Boys JV) or an event (i.e. Oaks Mixer)
  • Enter in appropriate date range and click “filter Dib items”.
  • Enter in appropriate date range and click “filter Dib items”.
  • Once the list appears you can choose what you would like to volunteer for by clicking on the bold description in the Item column. You should see the available jobs, already claimed, jobs etc.
  • You will be asked to enter in your “ATHLETE’S NAME” and the “FULFILLER’s name”. Please make sure you sign up under the proper profile, especially if you have more than 1 profile or different surnames.
When can I fulfill a dib?

You can fulfill dibs anytime during the pre-season or season. You may choose to fulfill dibs at your athlete’s match or for another Oak’s team or Oak’s event. Please stay connected to your team by following your teams on the mobile application as well as reading emails from your coaches and team volunteers.


SIGN UP FOR CLUB-WIDE, TEAM AND GAME DAY VOLUNTEER ASSIGNMENTS

Club, Team and Game Day volunteer assignments are managed by our DIB tracking system.  This keeps track of what hours you have worked for the Oaks. Please Click the Button below to sign up for DIBS.  

  • Team dibs are specific to each team and are only open to families at that age level.  
  • Club Wide volunteer jobs are available to anyone in the Club so you may give back to the Club at times that may be more convenient to you.
  • The DIBS offer a wide variety of tasks that may be associated with field set up, take down, field monitor, concessions, providing water, ice, snacks, to name but a few options.     

We have volunteer jobs with small time commitments and other jobs with larger time commitments. Please review the job descriptions and do not hesitate to reach out with any questions via email to  volunteer@danvillerugby.com.  We will do our best to answer your questions so you can make a commitment you feel comfortable with. We hope as you volunteer for the Danville Oaks, whether at the Club level or by the sidelines, that you make new friends and fall in love with this rugby family like the rest of us have! 

REFEREES NEEDED!


Andy Stockton- Former Oaks Player & Referee

We are always seeking new referees and touch judges (Line / Touch Judge Instructions) to officiate our youth and high school matches.  If you are interested in refereeing or becoming a touch judge please contact our Referee Coordinator at referees@danvillerugby.com

In order to referee, you will need some training.  Referees for U8, U10, U12 you need a Level 150 course which can be administered by the Oaks, but you do not need to be a Level 1 certified referee.  However, referees for middle school and high school matches must be Level 1 certified.  See our Referee page for more details.  If you need to sign up to referee a game, please click on the referee assignment link below:
